The Challange
Greystone tracked 2,000 pieces of equipment across nine yards using shared spreadsheets, a paper booking diary and an old accounting package. Double bookings happened weekly, and nobody knew which machines were due for servicing until they broke down.
Our Solution
We ran a two-week discovery with yard managers, then built a custom rental platform covering bookings, availability, maintenance schedules, damage reports and invoicing. Yard staff use a tablet app with barcode scanning, and the system syncs with QuickBooks overnight.
Results
Double bookings eliminated within the first month. Equipment utilisation up from 61% to 78%. Unplanned breakdowns down 35% thanks to service reminders
